Supplements & Scholarly Collections

The International Journal of Medical Students (IJMS) works with universities, medical schools, teaching hospitals, scientific societies, medical-student organizations, research programs, conferences, and other academic organizations to publish approved supplements and scholarly collections.

Since 2013, these collaborations have created a permanent scholarly record for conference abstracts, institutional research activities, scientific meetings, and other organized academic initiatives. The current IJMS archive includes more than 50 external abstract books and scholarly collections associated with academic communities across at least 15 countries, in addition to abstracts from the IJMS World Conference of Medical Student Research (WCMSR).

Publication Options

The IJMS considers organized scholarly collections that align with the Journal's scientific and educational mission.

Publication Model Purpose
Conference Abstract Supplement A collection of abstracts selected for presentation at an eligible scientific conference, congress, symposium, or comparable academic meeting.
Institutional Research-Day Collection Research presented through a university, medical school, teaching hospital, department, scholarly concentration, or institutional research program.
Medical-Student Research Collection Scholarship arising from an organized medical-student research society, network, or structured research program.
Program or Network Collection Scholarly material arising from an organized educational, collaborative, research, or international program.
Thematic Scholarly Collection A group of contributions addressing a defined scientific, educational, clinical, public-health, or research-development theme.
Other Special Publication Other structured scholarly material may be considered when its purpose, review process, and content are consistent with Journal standards.

Full manuscripts developed from work presented in a supplement or collection may later be submitted to the IJMS, but they are treated as independent submissions and remain subject to the applicable editorial and peer-review process.

How It Works

Stage Step What Happens
1 Initial Inquiry The organization provides information about the conference or program, proposed content, anticipated volume, review process, and timeline.
2 Evaluation & Publication Plan The IJMS evaluates suitability and, when appropriate, defines the publication model, responsibilities, requirements, timeline, and institutional contribution with the organization.
3 Scientific Selection Contributions undergo the agreed scientific-review and selection process.
4 IJMS Editorial Review The Journal evaluates final materials for compliance with the agreed scope, ethics, research-integrity, editorial, and technical requirements.
5 Production & Publication Approved materials proceed through formatting, metadata preparation, proofing, production, and publication in the Journal's scholarly record.

Scientific Review and Editorial Oversight

For conference or institutional abstracts, scientific evaluation may be conducted by the conference or institution's scientific committee, by the IJMS, or through an agreed combined model. The review process must be appropriate to the type of material being published.

Regardless of the initial review model, the IJMS retains authority over material published under the Journal's name and may require correction or decline content that raises scientific, ethical, authorship, research-integrity, disclosure, or publication-policy concerns.

Publication Package & Contributions

The exact publication package is defined according to the approved project. Depending on the collection, it may include:

  • publication within a dedicated IJMS supplement or scholarly collection;
  • conference, institution, or organization identification;
  • publication of approved abstracts or scholarly contributions;
  • author and institutional metadata;
  • professional publication formatting; and
  • citation information and pagination where applicable.
  • DOI assignment where applicable to the publication format;
  • online publication through the IJMS platform;
  • permanent inclusion in the Journal archive;
  • digital preservation;
  • dissemination links for organizations and authors; and
  • appropriate disclosure of institutional or financial support.

The exact bibliographic treatment, DOI structure, metadata distribution, and indexing eligibility depend on the publication format. Organizations with specific requirements should discuss them with the IJMS before finalizing an agreement.

Institutional Publication Contributions

The IJMS does not charge individual authors submission fees or article processing charges for regular Journal publication. Organizational supplements and scholarly collections, however, may require an institutional publication contribution because they involve additional editorial, administrative, production, metadata, and publishing work.

The applicable contribution is determined according to the scope and requirements of the project and is agreed before production begins.

Editorial independence: An institutional publication contribution supports the publication service and the nonprofit scholarly mission of the IJMS. It does not purchase acceptance, favorable scientific review, or editorial influence. The IJMS retains final authority over material published under its name.

Propose a Supplement or Collection

Organizations interested in publication should contact the IJMS before preparing final publication files. Early discussion allows the Journal to assess suitability, scientific-review requirements, publication format, production needs, timeline, and cost.

What to include in an initial proposal
Organization Full institutional or organizational name, country, website, and type of organization.
Primary contact Name, academic or organizational role, institutional affiliation, and institutional email address.
Conference or program Name, purpose, scientific scope, dates, location or format, and intended participants.
Proposed publication Type of supplement or collection and a brief description of the material proposed for publication.
Estimated volume Expected number of abstracts or contributions and approximate total length when known.
Scientific review Description of how contributions are submitted, evaluated, selected, and approved.
Ethics and integrity Description of applicable research-ethics, consent, conflict-of-interest, and research-integrity procedures where relevant.
Timeline Date of the academic activity, expected date for final materials, and preferred publication period.
Publication requirements Any specific requests concerning formatting, citation, DOI assignment, organizational identification, metadata, or dissemination.
